Last updated July 2026This policy explains, in plain language, how Hollie Sears Wellness collects, uses and protects your information when you visit this website, submit an application, or work with me as a client. Hollie Sears Wellness is a virtual functional nutrition practice based in Nova Scotia, Canada.
What I collect
- When you apply, the information you enter in the application form: your name, contact details, and what you choose to share about your health, symptoms and goals.
- If you become a client, the information needed to deliver the program, kept in my secure client portal.
- Payment details, when you enrol, are handled securely through my client portal. I do not store your full card information.
- Basic, non-identifying website data through standard cookies used for site functionality.
Why I collect it
To review applications for suitability, to deliver and support the program, and to contact applicants and clients about their application or their care. I contact you by email.
The services I use
I use trusted third-party services to run the practice:
- Tally for the application form. Tally stores its information on servers located in the European Union.
- Practice Better for the client portal, scheduling, client records and payments.
- BastionGPT, a compliant AI service, to help summarise information and prepare call and case notes.
These providers may process or store your information outside Canada, including in the United States and the European Union, under their own security measures and privacy terms.
Who can access your information
Your information is accessible only to me, Hollie Sears, and to the service providers above as needed to run the practice. Your information is never sold.
How long I keep it
- Unsuccessful applications are kept for up to twelve months and then deleted.
- Client records are kept for as long as needed to provide services and to meet my professional obligations, and are then deleted or archived securely.
Newsletter and marketing
I do not currently send a newsletter or marketing emails. If that changes, sign-up will be separate and optional, and your consent to receive them will be kept separate from applying to the program.
Your choices
You can ask me to access, correct or delete the information I hold about you at any time. Email me at hollie@holliesearswellness.com and I will respond within a reasonable time.
Changes to this policy
I may update this policy from time to time. The date at the top reflects the most recent version.
